I am using Office for Mac 2011 and OSX 10.6. I like to insert contact names and addresses into custom Word templates using a custom button in the formatting toolbar. The default address format for "insert address" does not include a company name. Is there a way to modify this format to includce the company name.

Mail Merge works OK but the list of names in the "filter recipients" step is lengthy and is not searchable.

Thanks.

I'm not sure I follow your question. Are you only trying to do this in Word? Why not use the contacts feature of Outlook? It's searchable and has the fields you're looking for. I must be missing what you're getting at.

Brian,

Thanks for the reply. All of my contacts originate from Outlook. From a selected Outlook contact it is easy to generate an Outlook e-mail message but not an envelope template in Word (so far as I know). Instead, I have custom Word templates for envelopes, mailing labels, letters, forms, etc. These templates include my logo and contact information and a text box for the name and address of the recipient. They may also include some boilerplate. By placing the cursor in the text box and clicking the "insert address" button, I can insert the name and address of the recipient. An "address book" button will do the same. I would also like to include a company name for this recipient, if one is included in address book. The default format does not include the company name and I would like to change that.

Ah - ok. I do at least understand the question now, but don't have an answer for you - although I wouldn't be surprised if chscag, bobtomay or other comes along with one. If not, suggest posting your question here. Office for Mac | Word Forums

Thanks again Brian. I think I'll post to the other forum that you suggested. If someone complains that I have cross posted, I will tell them that you said it was OK. I have a few cynical quotes on education. Here is one...

The forum Brian recommended is one run by Microsoft so no one is going to complain about cross posting. One of the MS MVPs who hang out there should be able to provide you with an answer.

Let us know how it went.

Peter Jamieson of MS sent me an article (MS KB 212345) that worked perfectly after messing around a bit with the field names. HOW TO: Modify the Layout of an Address Book Entry in Word 2000. Thanks much to everyone.

Glad you found a fix - and thanks for posting it back here. Too often people don't report back but it's always nice to have closure on a particular issue.
